What to Expect During a Professional Crane Site Visit
A crane site visit takes about thirty minutes and decides almost everything about your lift — the machine, the price, the date, and whether the job goes smoothly at all. Here is exactly what the crane team is looking at, and how to have your jobsite ready.
When a crane company offers to come look at your site before quoting, that is not a sales visit. It is the single most useful thing that will happen on your project before the day of the lift. In thirty to forty-five minutes, an experienced estimator will determine which machine your job actually needs, where it can legally and safely set up, what has to be moved or cleared, whether permits are required, and how long the work will take. Everything on the quote traces back to what they see during that walk.
Customers often find the visit a little puzzling, because much of it is spent looking at things that seem unrelated to lifting — pavement, driveway width, a manhole cover, the tree at the corner of the lot. This article explains what each of those observations is actually about, and what you can do beforehand so the assessment produces a clean, accurate plan instead of a list of unknowns.
Before Anyone Arrives: The Information Gathering
The assessment really begins on the phone. A good crane company will ask for the load weight from a nameplate or equipment submittal rather than an estimate, the address, the target landing point, and your date window. If you can send photos of the approach, the setup area, and the destination in advance, the estimator arrives already knowing roughly which class of crane is in play and what the difficult part of the job will be.
Weight is where most surprises originate. Rooftop package units of the same nominal tonnage vary by more than a thousand pounds between manufacturers, and rigging, spreader bars, and lifting frames add weight above the hook that counts against the crane's chart. A verified number from documentation is worth far more than a confident guess, because the entire capacity calculation is built on it.
What Happens During a Crane Site Assessment
On site, the estimator is working through a defined checklist. Each item can independently change the recommended machine — or rule out the plan entirely.
Setup Location and Working Radius
The first question is where the crane can physically park with outriggers fully extended. A mid-size hydraulic crane needs roughly 20 to 25 feet of width across the outrigger footprint, plus clearance behind the machine for the counterweight to swing. The estimator will pace off or measure the horizontal distance from that spot to the landing point, because that distance — the working radius — governs capacity more than any other factor.
This is the part customers most often underestimate. Crane capacity falls off steeply as the boom extends outward. A machine rated for 30 tons close in may handle only two or three tons at 90 feet of radius. If a landscaped setback, a fire lane that cannot be blocked, or an adjacent building forces the crane to sit farther back, the job may need a substantially larger machine for the same load. Twenty feet of extra distance can double the crane class required.
Ground Conditions and What Is Underneath
The estimator will look hard at the surface where the outriggers will land, and often at what is beneath it. A crane concentrates its full weight plus the load onto four pads, and the pressure under those pads commonly reaches several thousand pounds per square foot — well beyond what fresh backfill, a recently trenched utility line, a septic system, landscaping, or a parking structure deck can tolerate.
So expect questions about recent excavation, buried utilities, irrigation, vaults, and whether any part of the setup area sits over a basement or podium slab. If there is doubt, the answer is cribbing, timber mats, or steel road plate to spread the load, and that becomes a line item on the quote. This item is the least visible on the whole list and the most consequential: an outrigger that settles a couple of inches mid-lift changes the machine's geometry and can turn a stable pick into a tipping event in seconds.
Overhead Hazards and Clearances
The estimator will look up repeatedly. Power lines are the priority — Cal/OSHA requires minimum approach distances that increase with line voltage, and contact with an energized conductor remains one of the leading causes of crane fatalities. If lines cross the swing path, the plan either finds a setup position that keeps the entire operating radius outside the clearance envelope, or the utility has to be contacted to de-energize or sleeve the line, which takes lead time and must be scheduled well ahead of the lift date.
Beyond power lines, the walk accounts for tree canopy, building overhangs, signage, awnings, light poles, parking structure ceilings, and existing rooftop equipment near the landing point. Any of these can force a different boom angle, a different approach path, or a different setup location.
Access Route and Delivery Logistics
Getting the crane to the setup spot is its own problem. The estimator traces the route from the street: gate widths, turning radius at driveway aprons, overhead clearance at any covered entry, weight limits on bridges or drainage structures, speed bumps, and tight interior drive aisles. Larger machines travel with a separate counterweight truck that needs the same route and a place to stage while the crane is rigged.
On occupied properties, the walk also considers timing. Retail centers, medical offices, and schools often restrict crane work to early morning or weekends, and that restriction affects both scheduling and cost.
The Landing Point and Receiving Crew
The estimator will want to see where the load ends up: the roof curb, the equipment pad, the structural connection, the backyard location. They are checking whether the landing area is clear, whether the crew receiving the load has safe access and fall protection where required, and whether the load can be lowered vertically or needs to be walked in horizontally past an obstruction. On a replacement job, they also need to know where the removed equipment goes and how it leaves the property.
Permits, Exclusion Zones, and Other Trades
If any part of the operation touches public right-of-way — a lane, a sidewalk, street parking — a city encroachment permit and certified traffic control are likely required. Southern California jurisdictions vary from a few days to several weeks of lead time, so this gets identified early. The estimator will also sketch the exclusion zone, the area that must stay clear of people while a load is suspended, and ask who else will be working on site that day so the general contractor can plan around the pick window.
Preparing Your Jobsite for a Safe Lift
A little preparation before the visit — and before the lift day — pays back in accuracy and time. Here is what actually helps.
- Have documentation ready: the equipment submittal, nameplate photo, or shop drawing showing verified weight and dimensions.
- Know your dimensions: approximate distance from the likely crane position to the landing point, and the building height plus parapet.
- Identify buried utilities and recent excavation, and have as-built drawings available if the setup area is over anything.
- Confirm who controls the property: property manager approval, tenant notification, and any restricted work hours.
- Clear the setup area on lift day: parked vehicles removed, dumpsters relocated, material stacks moved out of the outrigger footprint and swing path.
- Clear the landing area: roof curb accessible, old equipment disconnected in advance, receiving crew scheduled and briefed.
- Assign one point of contact who will be on site, knows the plan, and can make decisions.
The clearing items matter more than they sound. A crane arriving to find three cars in the outrigger footprint loses an hour to locating owners, and that hour is billed. Disconnecting the old rooftop unit's electrical and gas the day before rather than the morning of routinely saves more time than any other single preparation step.
What You Should Get Out of the Visit
A professional assessment should end with clear answers, not just a number. Expect the crane company to tell you which machine they are recommending and why, where it will set up, what the working radius and percentage of chart capacity will be, whether cribbing or plate is needed, whether permits are required and who pulls them, how long the job will take including setup and teardown, and what conditions — wind in particular — would postpone the work.
You should also expect honesty about margin. A quote that puts the crane at 90 percent of its rated capacity leaves no room for a load that weighs more than the paperwork claimed. Experienced companies size into a comfortable range and will explain that choice rather than quietly quoting the smallest machine that technically clears the chart.
